A team of students and scientists from Allahabad University (AU) has developed a special web-based package that helps the employees of the central university to work from home and also to promote the paperless functioning of offices.
This package, known as the “New File Management System”, will help all departments of the university process to edit and edit various files on various subjects confidentially and securely online.
To do this, the computers in the university’s administration and accounts areas will also be connected to a separate server, they added.
“It’s a robust package so that anyone who has been granted access to the system can access it from anywhere. A two-step authentication process has been provided to ensure security. To use the system, the user must log in with the email ID and password that the administrator used to create the user’s account. Then the second authentication takes place using the Google Authenticator app, ”said the incumbent Vice Chancellor RR Tiwari.
One can write a note to a file and pass it on to the next person in the hierarchy, who can pass it on to the next person after pasting their own note, he added.
This package was developed within the university by a team made up of Sugam Tripathi, Rahul Kumar Mishra and Saumya Srivastava, he said.
According to Tiwari, each employee has been given a unique ID code that can be used to access the system. Every registered user can access the role assigned to him and work accordingly. Proper tracking of files is automatically maintained by the system, as each employee’s code is maintained there.
The incumbent V-C said the new system will reduce processing time and increase accountability by making it easy to keep track of how much time a file has been stuck in the queue with a particular person.
